Understanding the Requirements

Procure Builder initially provided their ideas and requirements in Excel sheets and shared the general flow of their desired Purchase Order Module. From this starting point, we conducted in-depth research and analysis to design a system tailored to their needs.

Competitive Research

After gathering initial requirements, we conducted competitive research to understand the landscape. We identified three major competitors in the field of construction project management software:

  1. Buildertrend
  2. Procore
  3. CoConstruct

Our goal was to surpass the functionality offered by these competitors, particularly in the area of material management.

Wireframe Creation

Our user experience designers crafted mid-fidelity wireframes, focusing on clarity and functionality. These wireframes laid out each screen and option in detail. We presented them to Procure Builder, gathered feedback, and made necessary adjustments. 

Designing the First Look and Feel

After conducting visual research, our UI designers created multiple variations of the home screen for Procure Builder CRM. The client selected Option 2, which became the foundation for the rest of the project’s design. 

High-Fidelity Design Creation in Figma

Once the home screen design was approved, we proceeded with designing the entire CRM, using the wireframes as a guide. The final high-fidelity design in Figma perfectly aligned with Procure Builder’s vision, ensuring a seamless user experience.

The home page offers users a bird’s-eye view of all pending tasks, overdue items, and upcoming deadlines. Users can prioritize tasks and track materials that are being purchased, added to inventory, or used in various projects. This efficient layout enables users to stay on top of critical tasks while keeping track of material flow. 

Inventory Management

Procure Builder CRM allows users to manage inventories effortlessly. Users can track material usage, monitor stock levels, and identify which materials need to be reordered. Materials are easy to find within the system, with location-based tracking that helps users pinpoint where specific items are stored. 

Creation of Purchase Orders

The system allows admins and upper management to track all purchase orders generated for projects. Higher management can easily approve or reject purchase orders, ensuring tight control over material procurement. The system significantly reduces the likelihood of errors, as all POs must go through an approval process before orders are placed. 

Material Transfers

Whenever materials are transferred or used, the system automatically logs this information, eliminating the need for manual tracking. Users can generate material transfer forms with ease, and the system ensures accurate and real-time tracking of material movements, reducing errors to zero. This frees up employees to focus on their primary tasks rather than worrying about small but critical material details.
